When registration is open, team managers submit their teams for the upcoming season. Your job as staff is to review each registration, verify eligibility, and approve or deny with a clear reason.

Accessing the registration queue

Go to c3esports.com/admin/registrations. The queue shows all registrations with status PENDING for the current (or selected) season, sorted by submission time. Reviewing a registration

Click on any pending registration to open the detail view. This shows:
  • Team info: name, tag, logo, description
  • Division requested: Premier, Challengers, or Contenders
  • Manager: who submitted and when
  • Roster: all players on the roster at time of submission, with eligibility indicators

Eligibility indicators

Each player row shows three eligibility flags:

A registration can be submitted with ineligible players. The platform does not block submission — it only displays warnings. You must review these manually. A team that goes into the season with ineligible players will cause disputes and headaches down the road.

Approving a registration

If the roster has at least 3 eligible players and there are no red flags, click Approve. The team’s status changes from PENDING to REGISTERED and they are added to the standings for their division (with 0 points). The manager receives a notification on the platform and a Discord notification if they have that enabled.
If a registration has 1–2 ineligible players but still meets the 3-player minimum with eligible players, you can approve with a warning note. Include in your approval notes that the flagged players must resolve eligibility before competing.

Denying a registration

If a registration cannot be approved as-is, click Deny and provide a clear, actionable reason.

Good denial reasons (specific and fixable):

  • “Roster has only 2 eligible players — 3 minimum required. PlayerX needs to verify their .edu email.”
  • “Team tag ‘UTA’ is already taken by another registered team. Please choose a different tag.”
  • “PlayerY appears on two rosters simultaneously. Remove them from the other team before resubmitting.”

Avoid vague denial reasons:

  • “Ineligible” (which requirement? which player?)
  • “Please fix and resubmit” (fix what?)
After denial, the team’s status returns to DRAFT and the manager can resubmit during the registration window. Make sure your denial reason gives them everything they need to fix the issue.

Bulk approving registrations

If you have many clean registrations (all green eligibility flags, correct roster sizes, unique names/tags), you can bulk-approve:
  1. On the registrations list, check the checkboxes next to all registrations you want to approve.
  2. Click Bulk Approve in the action bar that appears.
  3. Confirm. All selected registrations are approved simultaneously.

Review each registration before bulk-approving. The bulk action does not show individual eligibility warnings — you must have already reviewed each one individually. Do not use bulk approve as a shortcut to skip review.

Division assignment review

Pay attention to the division each team is requesting. If a team’s roster is clearly overqualified or underqualified for their chosen division, note it:
  • You may approve but add a note flagging the mismatch
  • You may contact the manager via Discord to discuss a better division fit
  • Staff cannot force a division change, but you can deny and ask them to resubmit in a more appropriate division if there is a clear case

After registration closes

Once the registration window closes:
  1. Make sure all pending registrations have been acted on (approved or denied). No applications should remain in PENDING status.
  2. If a registration was missed and the window has closed, contact an admin — admins can re-open the window briefly or manually update the status.
  3. Proceed to Season Management to schedule match weeks.
